1. Who we are

This policy explains how ZentrixVS (Pty) Ltd (registration number 2021/883023/07, "ZentrixVS", "we", "us") collects, uses, stores and protects personal information when you use this website or engage our services. Our registered address is 12 Gnu Lane, River Club Ext. 5, Sandton, Johannesburg, 2191, South Africa.

We process personal information in accordance with the Protection of Personal Information Act, 4 of 2013 ("POPIA"). For the purposes of POPIA, ZentrixVS is the "responsible party" for personal information collected through this website.

2. Information we collect

Information you give us — when you submit our contact or careers forms: your name, email address, phone number, company, the content of your message, and (for job applications) links to your CV or professional profiles.
Technical information — standard web-server logs may record your IP address, browser type and pages visited. This website does not use advertising trackers.

3. Why we process it (purpose and lawful basis)

To respond to enquiries you send us — processing necessary to act on your request.
To assess job applications you submit — processing with your consent.
To conclude and perform contracts for our services.
To comply with legal obligations (tax, company and employment law).
To protect the security of our website and systems — our legitimate interest.

We do not sell personal information, and we do not send marketing without consent.

4. Sharing and operators

We share personal information only with service providers ("operators" under POPIA) who process it on our instructions — for example our website hosting provider and the provider that relays form submissions to our mailbox. Operators are bound by written agreements to keep the information confidential and secure. Where an operator stores information outside South Africa, we ensure the recipient is subject to protections substantially similar to POPIA, as section 72 requires.

5. Retention

We keep enquiry correspondence for as long as needed to deal with the enquiry and for a reasonable period after. Unsuccessful job-application records are kept for no longer than 12 months unless you consent to a longer period. Contract and billing records are retained as required by South African tax and company law.

6. Security

We apply appropriate, reasonable technical and organisational measures, as required by section 19 of POPIA — including access controls, encryption in transit and least-privilege access to systems holding personal information.

7. Your rights

Under POPIA you may:

request confirmation of whether we hold personal information about you;
request access to it, and correction or deletion where appropriate;
object to processing, and withdraw consent where processing is based on consent;
complain to the Information Regulator (South Africa) — inforegulator.org.za.
